Westminster Management, LLC, an East Coast owner/operator, faced challenges in pinpointing apartments' ideal locations within communities without multiple physical tours. Plus, ensuring budget-friendly options with preferred amenities often required restarting the apartment search.

When a prospective resident walks through the door, they usually know what features they want in their next home. Two bedrooms. Open floor plan. Upper level. But they also have location preferences that might not be as obvious until they tour the community in person, such as proximity to the pool or elevator, interior or exterior views, and distance from the leasing office or their assigned parking space.

For East Coast owner/operator Westminster Management, LLC, one challenge their leasing agents were faced with was identifying apartments that were in the right location within the community, without first physically touring the prospect through several apartments. Also, when a prospective resident finally chose a home that was in their preferred location, with all desired apartment amenities, there was no guarantee that the rent range was within their budget. That often meant starting the apartment search over from scratch with the prospect.

THE SOLUTION

SightMap streamlines the process

When Westminster first installed SightMap products at seven or eight of its properties a year and a half ago, the Westminster team didn’t fully anticipate how the SightMap product would revamp and streamline the tour experience for both prospective residents and onsite teams, according to Elaine Kozloski, director of training at Westminster.

Whereas leasing agents previously spent a fair amount of time showing a number of apartments to each prospect just to narrow down their preferences, SightMap now helps onsite teams focus each apartment search from the onset.

"For the onsite team, it just makes it so much easier to narrow down the units that they’re going to show."

“They can say, ‘Based on what you’ve told me – your price range, your move-in date, the size of the apartment you’re looking for – these are the apartments that fit that criteria. Here’s one over by the dog park, here’s one by the pool, here’s one that’s on the greenbelt. Which do you like best?’

“It really helps them find that perfect match for prospective residents. It helps them spend their time more efficiently, showing those apartments that suit the prospective resident better.”

Kozloski said the ability of SightMap to integrate with Yardi also provides incredible clarity in terms of pricing and saves time when explaining the different factors that establish rates.

“Our prices change every day based on availability and the rental rates vary based on the lease term that you sign. Being able to integrate Yardi with Engrain products is helpful because it brings that pricing matrix over to SightMap,” Kozloski said. “It’s all right there on the grid and provides a lot of transparency to the prospect. Otherwise, it kind of feels like you’re just throwing numbers at them and it can be very confusing.

THE RESULTS

SightMap and TouchTour save time and boost applications

The time saved up front on each tour, thanks to SightMap’s Yardi integration, has been invaluable to Westminster’s leasing teams.

The ability to preemptively pair prospects with homes that are currently available, that match their preferred features and location within the community, and meet their budget, makes the tour process that much more efficient.

Westminster enhanced the prospect experience even further with the deployment of Engrain’s TouchTour product at several of its properties. Since the addition of TouchTour, Kozloski said tours at Westminster communities have a much more personalized feel.

“One of the things that has really helped is that you can aggregate pictures and floor plans while you’re talking to your prospect and send a follow-up email easily and quickly right from the screen before the prospect has even left the property. It makes the follow-up really easy for the employees and also makes the email that the prospective resident."

As team members digitally walk prospects through their options, they simultaneously initiate the follow-up process via TouchTour.

In December, Westminster held a contest between properties that recorded the number of follow-up emails sent via TouchTour. The properties that sent the most follow-ups also saw an increase in their applications.

TouchTour’s user-friendly features also come in handy when leasing offices are experiencing high traffic volume.

“If a leasing office is busy, sometimes they’ll invite a prospect to tap around on the flatscreen and see some of our pictures,” Kozloski said. “It keeps them engaged and keeps them busy, so they don’t leave while the leasing agent is interacting with another prospective resident.”

THE FUTURE

Installations, training to continue

Westminster is in the process of adding TouchTour and SightMap at 10 more locations. With each new Engrain product installation, Kozloski sees further opportunity to augment the prospect experience.

“I plan to go to each property and do a one-on-one training, get the video out to them, and I’d like to do another contest,” Kozloski said.

Kozloski now trains each new employee on TouchTour and SightMap, to ensure that the entire team is well versed in their applications toward enhancing the prospect experience.

In collaboration with Engrain, the Westminster team also wrote and produced a training video which automatically gets assigned to each new hire.

“We really want to get our people used to always using TouchTour as part of their leasing process."
